At Keepix, we understand that your wedding photos are deeply personal and precious. This Privacy Policy explains how we collect, use, store, and protect your information when you use our service.
1. Information We Collect
1.1 Information You Provide
- Account Information: When you create an account, we collect your name, email address, and password.
- Album Information: Album titles, dates, descriptions, and settings you configure.
- Photos and Content: Photos and videos you or your guests upload to your albums.
- Guest Information: Email addresses of guests who optionally provide them when uploading photos via your QR code or shared link.
- Payment Information: When you purchase a subscription, our payment processor collects your billing information. We do not store complete credit card numbers.
1.2 Automatically Collected Information
- Log Data: IP addresses, browser type, device information, and pages visited.
- Photo Metadata: EXIF data embedded in photos (camera settings, timestamps). GPS location data is automatically stripped from all photos on upload and is never stored.
- Usage Analytics: How you interact with Keepix, collected via Google Analytics (Google LLC). See Google's Privacy Policy for details on how Google handles this data.
- Cookies: Essential cookies for authentication and session management only. We do not use advertising or tracking cookies.
2. How We Use Your Information
We use your information to:
- Provide and maintain the Keepix service
- Store and organize your wedding photos
- Generate QR codes and shareable links for your albums
- Send you email notifications about your albums (when enabled)
- Process payments and manage your subscription
- Provide customer support
- Improve and optimize our service
- Prevent fraud and abuse
- Comply with legal obligations
3. Photo Privacy and Access
3.1 Your Photos Are Private
Your wedding albums and photos are completely private by default:
- Only people with your unique album link or QR code can view or upload photos
- Your photos are never shared publicly
- We do not use your photos for marketing or promotional purposes
- Your photos are not visible to other Keepix users
- We do not sell or rent access to your photos
3.2 Employee Access
Keepix employees do not access your photos or albums except:
- When you explicitly request technical support
- When required to investigate security incidents or abuse
- When legally required by valid legal process
4. How We Share Information
4.1 We Do Not Sell Your Data
We do not sell, rent, or share your personal information or photos with third parties for their marketing purposes.
4.2 Service Providers
We share information with trusted service providers who help us operate Keepix:
- Cloud Storage: Rackspace Cloud Files for photo storage
- Payment Processing: Stripe (Stripe, Inc.) for payment processing. See Stripe's Privacy Policy.
- Email Services: For sending transactional emails and notifications
- Hosting: Infrastructure providers for our web application
These providers are contractually obligated to protect your information and use it only for providing services to Keepix.
4.3 Legal Requirements
We may disclose information if required by law, court order, or government request, or to protect the rights, safety, and security of Keepix, our users, or the public.
5. Data Storage and Security
5.1 Where We Store Data
- Photos: Stored in Rackspace Cloud Files data centers in the United States
- Personal Information: Stored in secure databases in the United States
5.2 Security Measures
We implement industry-standard security measures to protect your information:
- Encrypted data transmission (HTTPS/SSL)
- Secure password hashing
- Regular security audits and updates
- Access controls and authentication
- Monitoring for unauthorized access
However, no method of transmission or storage is 100% secure. We recommend downloading your photos as a backup.
6. Data Retention
- Active Accounts: We retain your photos and data for as long as your account remains active.
- Plan Expiration: When a paid plan expires, your photos and albums are retained but access to paid features may be restricted. We will send you email notice before your plan expires so you have time to download your photos. We will not delete photos solely due to plan expiration without additional notice.
- Closed Accounts: When you close your account, we delete your photos and personal information within 30 days, unless we are legally required to retain certain information.
- Guest Photos: Photos uploaded by guests without an account are stored for the duration of the album owner's active plan and deleted when the album is deleted or the account is closed.
- Backups: Deleted data may remain in backup systems for up to 90 days before permanent deletion.
7. Your Rights and Choices
You have the following rights regarding your information:
7.1 Access and Download
You can access and download all your photos at any time through your Keepix account.
7.2 Correction
You can update your account information and album details at any time.
7.3 Deletion
You can delete individual photos, entire albums, or close your account entirely. Deleted photos are not recoverable.
7.4 Data Portability
You can download all your photos in their original format at any time.
7.5 Marketing Communications
You can opt out of promotional emails by clicking the unsubscribe link in any email or updating your account preferences. You cannot opt out of essential service communications.
8. Children's Privacy
Keepix is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected information from a child under 13, we will delete it promptly.
9. Guest Users
When guests upload photos via an album link or QR code without creating an account, we collect:
- The photos they upload
- Their name (required to identify who uploaded photos)
- Their email address (optional, used only to send them a link to the album after the event)
- IP address and basic log data
Guest information is used solely to provide the upload service and is not used for marketing. Guests may request deletion of their uploaded photos or personal information by contacting us at privacy@keepix.us.
10. International Users
Keepix is operated in the United States and is intended for use by US residents. If you are located outside the United States, your information will be transferred to and stored in the United States. By using Keepix, you consent to this transfer.
11. Cookies
We use strictly necessary cookies to:
- Keep you signed in to your account
- Remember your preferences
- Protect against fraud and abuse
We do not use advertising cookies or third-party tracking cookies. You can disable cookies in your browser, but this may affect your ability to use Keepix.
12. California Residents — CCPA Privacy Rights
If you are a California resident, the California Consumer Privacy Act (CCPA) gives you specific rights regarding your personal information.
12.1 Categories of Personal Information We Collect
- Identifiers (name, email address, IP address)
- Photos and content you or your guests upload
- Photo metadata (camera settings, timestamps — not location, which is stripped on upload)
- Payment information (processed by Stripe; we do not store card numbers)
- Usage data (via Google Analytics)
12.2 We Do Not Sell Your Personal Information
Keepix does not sell, rent, or trade your personal information to third parties for monetary or other valuable consideration.
12.3 Your CCPA Rights
As a California resident, you have the right to:
- Know: Request disclosure of the categories and specific pieces of personal information we have collected about you.
- Delete: Request deletion of your personal information, subject to certain exceptions.
- Opt Out of Sale: We do not sell personal information, so no opt-out is necessary.
- Non-Discrimination: We will not discriminate against you for exercising any of these rights.
12.4 How to Submit a Request
